What are Monitoring and Evaluation Reports and why do I need to complete them?

One of the best features of The Good Exchange is the ability for donors and funders to support projects in their area or causes close to their heart.  All fundraising is directed to specific projects rather than general charitable funds so you can see where and how the money was actually spent.  You may even be able to visit the new building or view the work in action you have supported .

The purpose of the Monitoring and Evaluation reporting is to show exactly what was achieved with the funding and how this relates to the original aims and estimated costs of the project.  You will be asked to provide information and evidence of how the money was spent and how this compares with the original cost breakdown.  Additionally you can show how many people benefit from the project and how this compares with your original proposal.

Reports are due to be completed usually 3 to 6 months after your project has become successful or has received funding via The Good Exchange.  Larger projects such as new builds have a longer time period before reports are due or can provide interim reports along the way.

In order to complete your reports please login to your Applicant Dashboard and click on the title of the project you wish to complete reports for.  Bear in mind that this may be in the 'Successful' section of your dashboard.

Click on the Evaluation tab.  

This will display the date that your reports are due.  Click on the date button to access the reports.
You can now work through each tab adding the required information.

There are 2 different tabs for adding documents - add supporting documents to the 'Public' area e.g. for photographs or a report on an event that you are happy to share with the public.  Add receipts and sensitive documents to the 'Private' documents section and these will only be visible to Good Exchange admin and to funders who have given funds to the project.

You must save each section as 'Complete' in order to submit your full set of reports (even if you are not uploading any information in one section).

You can update your reports at any time - even if your project is still fundraising.
